Planning for Kaushal Mela

Why Plan?

After finishing your project, you share what you did — and how you did it — at the Kaushal Mela, where students display and demonstrate their work to other students, teachers, families and guests. A good Mela needs careful planning.

Planning helps you decide how to reach your goal: what needs to be done, and when, so that everything goes smoothly.

The book's examples:

  • A presentation on water usage in the community needs a time and place where the maximum number of people can watch.
  • A demonstration of home automation needs all materials in one place, in the correct quantity.
  • Planning also prevents wastage of time and resources. Different activities take different amounts of time: some materials take longer to get, and some activities depend on others being finished first. So:

  • assign responsibilities for each activity,
  • discuss the process for each activity in detail,
  • make a plan to work together as a team.
  • The planning can be done on a chart or A3 paper and put up on a notice board to track progress.

    Table 7.1: Components of Planning

    Basic details

  • Date and time
  • Venue
  • Who will attend
  • What you will present
  • Additional support required — electricity, tables, chairs, carpet, computer, open space
  • Preparation tasks

For each task, write the details, the start and end dates, and tick when completed or mark it red if delayed.

  • Presentation of the work done — project documentation, poster, journey video
  • Setting up the stall and decoration
  • Seating arrangements (if needed)
  • Setting up displays — e.g., stalls, labelling components in a garden
  • Signboards — toilet, entry, etc.
  • Inviting guests — designing the invitation, guest list, how invites will be sent
  • Safety precautions
  • Cleanliness and waste management
  • First aid station — where it is and what first aid is available
  • Anchoring — script and anchor(s)
  • Preparing the stage — setting up, decoration, sound equipment
  • Schedule for the entire Mela
  • Information about the Mela — layout, information pamphlets
  • Registration of guests — how, when, what details
  • Feedback from guests — questions and how to collect answers
  • Cleaning up afterwards — returning equipment, removing waste
  • Showcasing the Grade 8 Projects

Each project gives something to display:

  • Hydroponics — plants growing without soil and your setup
  • Feeding and Caring for Farm Animals — your observations and care plans
  • Working with Wood and Bamboo — the objects you made
  • Home Automation — a live demonstration (with all materials ready)
  • Water Audit — your data, charts and water-saving suggestions
  • Creating Advertisements — the posters or videos made for local businesses
  • After the Mela

Check whether your preparation was adequate. The same method — list the tasks, and the time and resources each needs — works for any other event or project.

    • ✓Table 7.1 lists basic details (date, venue, audience, what to present, support needed) and preparation tasks.
    • ✓Each task needs a responsible person, start and end dates, and tracking (tick when done, red if delayed).
    • ✓The same planning method — tasks, time and resources — works for any event or project.

    👨‍🏫 Teaching Tips

    • →Put Table 7.1 on a large chart and let groups volunteer for each component.
    • →Have students estimate how long each task takes and spot tasks that depend on others.
    • →Use the tick/red-mark system on the notice board and review it weekly.
    • →Let a group design the invitation and guest list as a mini-project.
    • →Rehearse the anchoring script and a stall demonstration before the Mela.
    • →After the Mela, hold a debrief using the guest feedback and the tracking chart.
