Email manners — Interview skills for students

An email to a teacher, principal or employer is read before anyone meets you. Give it a clear subject line, a polite greeting (“Dear Ma’am,”), one line on why you are writing, the details in short paragraphs, a thank-you line, a sign-off (“Regards,”) and your full name. Use an email ID based on your name, mention any attachment and read it once more before you press Send.

Subject to signature — “subject, greeting, purpose, details, thanks, sign-off, name”

  1. Order: subject line → greeting → why you are writing → details → a polite thank-you line → sign-off → your full name.
  2. Good habits: a clear subject, short paragraphs, checked spelling, a named attachment, an email ID based on your name.
  3. Poor habits: no subject, ALL CAPITALS, emojis to a principal, text-message spelling, one huge paragraph, no name at the end. Follow up politely after a few working days.

Use it for: Leave applications, certificate requests, college and scholarship queries, internship applications and project emails.

Worked example: 📧 Good or poor email habit: no subject line? → a poor email habit

  1. Without a subject, the reader cannot tell what the email is about — it may be missed.
  2. So it is a poor email habit.

Check: Try it: write (do not send) an email asking your school office for a bonafide certificate, with a subject, greeting, sign-off and name ✓
