Meeting basics: agenda and minutes — Leadership skills for students

A short, useful meeting has an agenda — the list of topics, in order, sent before the meeting. It starts on time, takes one topic at a time and ends with action points: who does what by when. The minutes record what was decided, who attended and who will do what, and are sent to everyone after.

Plan, talk, record — “agenda before, decisions during, minutes after”

  1. Order: share the agenda → start on time → discuss each topic → agree on action points → send the minutes.
  2. Agenda: the list of topics, time for each topic, sent before the meeting. Minutes: what was decided, who attended, who will do what.
  3. Good habits: one person at a time, sticking to the agenda, phones on silent. Poor: no agenda, everyone talking at once, no notes, no clear decisions.

Use it for: Club meetings, class councils, event committees, project teams and house meetings.

Worked example: 📋 Agenda or minutes — where does this belong: who will do what? → the minutes

  1. “Who will do what” is recorded once the meeting has decided it.
  2. So it is part of the minutes.
